Fourth FnBshop is a process driven purchasing system that eliminates the need for manual data entry, thereby effectively removing duplication. The role of 'Accounts Payable Administrator' can be dramatically reduced or completely removed.
Many companies within the Hospitality industry find themselves outsourcing the invoice reconciliation function, this requires the time consuming need to scan or post documents to outside companies, with the Fourth 'Accounts Payable Service' there is no need to scan or post invoices again.
Fourth offers a fully outsourced Accounts Payable Service with the following functions that can be tailored to suit:
- Sites place purchase orders with suppliers using Fourth FnB System
- Goods, delivery notes and invoices sent to sites, which process basic information from delivery notes and invoices into the Fourth FnB system. Sites are responsible for identification and resolution with suppliers of any invoice discrepancies.
- Delivery Notes and Supplier Invoices sent by Sites to Fourth Accounts Payable service team
- Fourth confirms that details of invoices and delivery notes agree to data in FnB System.
- Fourth agrees with the customer the management of any identified discrepancies (designated decision making contacts required)
- Fourth produces an electronic summary of invoices to be paid per agreed period, to be electronically approved by customer.
- Fourth submits BACS payment request to the customer's Bank for payment.
- Fourth sends an electronic file of invoices paid to customers for import into Accounts System
- Fourth stores all supplier invoices and delivery notes safely and securely.
